This policy explains how ServeReferee (“we,” “us”) collects, uses, and shares information when you use our website, iPhone app, web console, and related services—including when you hire us for California process serving or court e-filing.

Who we are

ServeReferee provides California process serving and court e-filing services, and software for process server teams. The software includes an iPhone app for field work and a web console for desk work. Both use the same account.

What this policy covers

This policy applies to:

  • Our public website (including contact forms and marketing pages)
  • The ServeReferee iPhone app and web console
  • Accounts, billing, invoices, statements, and related emails
  • Information you give us when you hire us to serve documents or e-file

If you use ServeReferee software to run your own process serving business, you may store client, party, address, court, photo, and case information in your account. You are responsible for that content and for having a lawful basis to collect it. We process it to provide the product you signed up for.

Information we collect

Account and profile

When you create or manage an account we may collect:

  • Name, email address, phone number, and password
  • Company name, business address, and related profile details
  • Role (for example manager, process server, or customer portal user)
  • Multi-factor authentication settings and backup codes

Job and operations data

To run jobs we may store:

  • Job details, parties, serve addresses, court information, status, and notes
  • Service attempts, including date, time, and GPS coordinates when recorded
  • Photos, scans, PDFs, affidavits, proofs, and other documents you upload or generate
  • Emails you send through the product (status, deliverables, invoices, statements)
  • Customer, attorney, affiliate, process server, and court catalog records you enter

Billing and payments

  • Subscription plan, usage (such as jobs in a period), and billing status
  • Invoice and statement records, amounts, and payment status
  • Payment details handled by Stripe. We do not store full card numbers. If you connect a Stripe account for client card payments, Stripe processes those charges on that connected account.

Website and contact

  • Name, email, phone, topic, and message if you use our contact form
  • Basic technical data such as IP address, browser type, and request logs needed to operate and secure the site

Device permissions (iPhone app)

The app may ask for:

  • Camera — to take job photos and scan documents
  • Photo library — to attach existing photos to jobs
  • Location (while using the app) — to stamp GPS on job photos and service attempts for proof of service
  • Face ID / Touch ID — optional, for quicker sign-in on this device

You can deny or later revoke these permissions in iOS Settings. Some features will not work without them.

How we use information

We use information to:

  • Provide, maintain, and improve the app, web console, and website
  • Create and authenticate accounts, including optional Face ID / Touch ID on your device
  • Run jobs, generate proofs and affidavits, and send status or billing emails you request
  • Process SaaS subscriptions and, when enabled, client invoice or statement card payments
  • Perform process serving and e-filing work you hire us to do
  • Respond to support, billing, and contact-form messages
  • Protect accounts, prevent abuse, and meet legal obligations

We do not sell personal information. We do not use personal information for third-party advertising or cross-context behavioral advertising. We do not run advertising or analytics SDKs in the iPhone app.

Location, camera, and photos

Location is collected only while you are using the app, and only for job work—typically GPS coordinates on a photo or a service attempt used as proof of service. We do not track your location in the background, and we do not use location for ads or marketing.

Photos and documents you attach become part of the job record for your account (and anyone you authorize, such as teammates or a customer portal user). They may appear on proofs, affidavits, or emails you send.

Face ID and Touch ID

If you enable Face ID or Touch ID, Apple processes the biometric check on your device. We do not receive or store your face or fingerprint. We may store a sign-in credential in the device Keychain so the app can restore your session after a successful biometric check. You can turn this off in the app.

How we share information

We share information only as needed to operate the service:

  • Stripe — subscription billing and, when you enable it, client card payments (including Stripe Connect for connected businesses)
  • Email delivery — to send verification, invites, job status, invoices, statements, and similar messages
  • Hosting and infrastructure — cloud hosting, databases, and file storage that run the product
  • Apple — if you download the app from the App Store; Face ID / Touch ID stay on-device
  • Maps — if you choose to open an address in Apple Maps or Google Maps, that app receives the address you open
  • People you include — teammates, invited process servers, customer portal users, and recipients of emails or pay links you send
  • Legal — if required by law, court order, or to protect rights, safety, or the integrity of the service

Service providers are expected to use information only to perform work for us, not for their own marketing.

Cookies and similar technologies

We use cookies and local storage as needed to keep you signed in, remember preferences, and protect forms (including a hidden honeypot field on public forms to reduce spam). We do not use advertising cookies. You can block cookies in your browser; the web console may not stay signed in if you do.

How long we keep information

We keep account and job records while your account is active and for a reasonable period afterward so you can run your practice, complete billing, and meet record-keeping needs that often apply to legal support work. You may request deletion as described below. We may retain limited information when we must (for example backups, security logs, dispute records, or legal holds).

Security

We use industry-standard measures such as encrypted connections (HTTPS), hashed passwords, optional multi-factor authentication, and access controls. No method of transmission or storage is completely secure. Please use a unique password and keep your devices locked.

Your choices and California privacy rights

You can:

  • Access and update profile and company information in the app or web console
  • Turn device permissions off in iOS Settings
  • Disable Face ID / Touch ID sign-in in the app
  • Close your account or request deletion by contacting us

If you are a California resident, you may request to know, correct, or delete personal information we hold about you, and to opt out of sale or sharing of personal information. We do not sell personal information or share it for cross-context behavioral advertising. We will not discriminate against you for exercising these rights. To submit a request, use the contact details below. We may need to verify your identity before fulfilling it.

If you are an invited user (for example a process server or customer on someone else’s account), some records belong to that organization’s account. We may direct certain requests to the account holder.

Children

ServeReferee is for professionals and businesses. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes

We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the website, app, or console after an update means you accept the revised policy.
